  1. Switch to turn on (Edit > Preferences > Features)
  2. Select the registration form.
  3. Turn on the switch for events. (Edit > Event > Registration / Enrolment) >
  4. Set the template files and upload them.

How to Use the Enrollment Report

Enrollment Summary Report

Go to Reports > Registrant Reports > Enrollment Report. This report displays the enrolment information by event.

  1. Registration period for the report
  2. Display Mode (see the images below for more details)
    • List: List the events one by one with Event Name
    • Grid: Display the report like the step1 matrix using the matrix display name
  3. Display Enabled/Enabled Events
  4. Show Reserved Enrolment: This is applicable for those events that “the starting enrolment (reserved places)” is set to.
  5. Show Event Code: Display Event Code or not (applicable for List mode only)
  6. By clicking on this button, you’ll be downloading a tab delimited .txt file of this report
  7. By clicking on the current number of the registration, you’ll be taken to the Enrollment details report.

List Mode or Grid Mode

List Mode will simply list all the enrollment information along with the event name. Grid Mode will show them in the matrix organized by “Matrix Display Name” and “Matrix Column Headings” in each individual event setting just like the step 1 page. If two events have the same Matrix Display name but different Matrix Column Headings, two columns will appear.
If Step 1 Matrix is not used, List Mode might work better for you.

Enrollment Details Report

Once you click on the current enrollment number on the Summary Report, you’ll be taken to this report. This report shows all the registrants who registered during the registration period that is selected on the previous page.
Questions on the registration form can be added to this report by checking off the question fieldname on the grey tray on the left side. This settings will be saved by event.

  1. Show/Hide grey tray
  2. Questions on the registration form. Check off the items and click on “update” button. The items will be added to the report.
  3. By clicking on the column header, the report will be sorted by the column. (This is applicable for columns, Registrant Name, Reference # and Event Name only)
  4. By clicking on the registrant name, you’ll be taken to manage registrant
  5. By clicking on the reference #, you’ll be taken to the Official Receipt
  6. Download the tab delimited .txt file

Mobile Customer Service

The e-RegisterNow Mobile Customer Service Feature allows for real time monitoring of ticket sales for your event. Once logged into the Mobile Customer Service with your personalized Ignition Key, you will be brought to that merchant accounts real time updates.

Underneath your organizations logo, to the right your accounts ‘M’ account number will be displayed adjacent to the name of the logged in user and the Ignition Key.

Located below these labels are four different buttons:

The small blue plus symbol will bring up the current version you are using along with Patch Notes.

Button Links.

Within the e-Ticket Counts page you will find.

  • e-Ticket Sold and Redemption Counts (Select the date range you’d like to see for ticket sales. Additional buttons are provided to see ticket sale counts by year, week or the current date.)
  • Summary (Summary of total tickets sold vs redeemed for specific merchant account.
  • Redemption Gates (Total number of tickets redeemed at each specific gate at your event.)
  • e-Ticket Types (A detailed summary of each ticket type (i.e. VIP, Weekend Pass, Daily Passes, etc…) sold vs redeemed at your event.)

Unredeem a ticket.

Unredeem a ticket (to be valid for redemption/admittance) via the tickets Reference number or Barcode(s).

Reference numbers redeem all tickets associated with it, Barcodes redeem specific tickets only, multiple barcodes can be redeemed at once, as long as they are denoted by a tilde (~). Hit the ‘UnRedeem Ticket’ button in bottom left corner to process.

Upon successful processing, the e-Ticket(s) will immediately be available for redemption at any active gate.

Search for a transaction.

Search for a transaction via: Reference Number, Card Holder’s Name, Credit Card Number, Barcode, Email, or Purchaser’s Name.

Logout of Mobile Customer Services.

After Logging out you will be brought to a login page, where you can then choose to login either to; the e-RegisterNow Home Page, the e-RegisterNow Login Page, or the Mobile Customer Service Login Page.

Use the Waiting List feature

Waiting List allows your registrants to sign up and be placed onto a waiting list for a sold out event or program, in order to be notified when an event’s availability changes.

*Waiting List can be found under “Tools” at the bottom of the drop down menu.

Enabling the Waiting List.

To enable the waiting list for your event can be found under; Edit > Events > [Your Event] + Edit Selected Event > Registration/ Enrolment tab > Enable Waiting List.

Customization.

When an event is ‘Sold Out‘ now instead of the Sold Out icon showing, a icon will now be displayed. For your convenience a different color icon can be selected or your own custom made icon can be uploaded and used.

Data Fields.

Waiting List provides you with a detailed table of all your waiting registrants information. Each report column is as follows:

  1. Waiting for Event – name of event registrant is waiting for (events are grouped together, so all registrants waiting for one event will be under one another).
  2. Order – place in queue for each registrant in the event they are waiting for, decreasing or increasing this number moves the registrant up or down the list.
  3. Event Start Date – when the event will begin.
  4. Waiting From – the date the registrant signed up for the waiting list.
  5. Name – full name of registrant.
  6. Email – registrants contact email.
  7. Phone Number – registrants contact phone number.
  8. Spots Needed – the number of spots requested by the registrant.
  9. Status – lists the status of each registrant on the waiting list.
  10. Delete – remove a registrant from the waiting list.
  11. Email (Button) – manually send an email, this will override all other statuses and can be used to give an expired registrant another change, override the queue order or even send out multiple emails to see who registers first (NOT advised).

Waiting List Status.

  • Waiting – the registrant has successfully signed up for the given event and is waiting for a spot to become available.
  • Spot Available – a spot has opened up for the given event and the system is waiting for cashier input to send out a notification email.
  • Sent – an email has been sent, either automatically or manually by a cashier to the registrant. The registrant will have 48 hours to successfully register.
  • Registered – the registrant has successfully secured their spot for the given event.
  • Expired – the registrant’s registration period has expired (48 hours have passed since the email was sent out) and the spot has now been given to the next person in line.

Adding Events to Registrant

  1. Go to Tasks > Manage Registrants…
  2. Use the “Quick Search” field to quickly find the registrant you are looking for. You can search by first name, last name, reference number or email.

  3. Select the registrant you wish to modify and click “View”
  4. This will open the Registrant Details Tab. All registrants personal data is recorded here and can be modified. Click on the Registrations Tab.
  5. This tab shows all the current events that the registrant is enrolled in. Click on the “Edit Registrations” button to edit. 
  6. From the next view, you can add new events. To show all the available events, click on the “Add Events” button.
  7. From the events list that showed up below, select the event you wish to add. The selected events will be added to the top list with green color. Once the selection is done, click on the “Save and Process Financial Consequences”.
  8. On the next page, it will list the new event that will be added. You can modify the payment amount and payment type (note that the payment amounts here are the event cost. No early bird will be applied). Click on “Review” when finished.
  9. This page will allow you to review all your changes to ensure the correct events and amounts of money are being exchanged. Also, the description can be modified as you like. Click “Process” to confirm these changes.
  10. Once the transaction has been processed, the confirmation page will load showing the breakdown. It is recommended that you send the client an updated receipt with the new changes. This can be done by clicking the blue reference number link that opens a new window of the receipt. Click on the third “here” near the top to email the official receipt. The email field is pre-populated with the clients email, and a custom message can be created for the email. Send the email to send the updated, official receipt.

Event Exporter

Event Exporter allows the clients to download all the data of existing events as a tab-delimited file.

  • Select from the menu bar, Tools | Import/Export | Import/Export Events. Select the option from Export Option and click on Start Export.

Virtual Terminal

Virtual Terminal let you process a one-time payment, recurring payment, planned payment.
Payments can be made toward an existing registrant or a new person. You can also enroll a person into an event. (Note: no e-ticket will be issued.)

  • Monthly Recurring Payment: This creates a monthly credit card payment. Once this is submitted, the future payment will appear in Tasks > Deferred Payment. When the time comes, the user needs to process the payment there. To stop the recurring payment, the record in the Deferred Payment Page needs to be deleted after the last payment.
  • Payment Plan: This will create a planned (scheduled) payment. When you select this type in frequency, the payment plan editor (see below) will appear.
    1. Enter the Total Amount, Deposit Amount and Number of Payments (the orange box)
    2. Click on the ‘Show Plan’ button
    3. According to what you’ve entered, the payment plan will get calculated and be displayed on the left side (the green box).
    4. Date and each amount can be adjustable. (* the total of each amount + deposit must be the same as the Total Amount that is specified at #1)

    The deposit amount will be processed on the submission. The planned payment will appear in the Tasks > Deferred Payment. When the time comes, the user needs to process the payment there.

  • Make a payment towards existing Pending/Deferred Payments: If a registrant owe some payments, by typing the reference #, what the registrant owes will be listed in the Amount Section (See the image below). Enter each payment (partially/fully) to process. At least one slot needs to be entered.
  • Make a payment with event: To enroll a person into an event, select an event from the event drop down which lists all the available events (See the image below).
    *Note: If the registrant is already in that event, it will just add the payment to the event.

Event Importer

Procedure:

Event Importer allows the client to upload any number of relevant data into the e-RegisterNow database. Use the procedure outlined below.
Procedure:

  1. Create an Excel spreadsheet containing the new database entries. Each column needs a unique heading – use the event fieldnames, listed at the end. The default value will be stored for the fields that are not listed in the spreadsheet. Some fields need to be in the correct format; also shown below. Use ID for Registration Form and Tax (ID can be looked up in the Import/Export Events page).
  2. Save the spreadsheet in the Text (Tab Delimited) format.
  3. Use File Upload, to bring the text file into the M root directory.
  4. Select from the menu bar, Tools | Import/Export | Import/Export Events. Type the file name that you’ve just uploaded into the textbox. Use the eye icon to view the file. Finally, click on Start Import

The data should now be imported as events. If there are any errors make sure the spreadsheet is properly setup and saved as a tab delimited text file. Listed below are the event fieldnames and formats.

Moving Registrants Between Events

  1. Go to Tasks > Manage Registrants…
  2. Use the “Quick Search” field to quickly find the registrant you are looking for. You can search by first name, last name, reference number or email.

  3. Select the registrant you wish to modify and click “View”
  4. This will open the Registrant Details Tab. All registrants personal data is recorded here and can be modified. Click on the Registrations Tab.manage_registrants_registrant_details
  5. This tab shows all the current events that the registrant is enrolled in. Click on the “Edit Registrations” button to edit. manage_registrants_registrations
  6. From the next view, you can remove the current event the registrant is enrolled in, increase/decrease the quantity or add a new event. To move a registrant between events, first remove the event to remove the enrollment record and then add the event you wish to add. Click “Save and Process Financial Consequences” to continue.manage_registrants_registrations_edit
  7. On the next page, it will list the event that is to be refunded and the new event that will be added. There are three scenarios to cover here:
    1. The events are equal in dollar value – in this case change the “select refund tender type” for the refunded event to “on account” and the same thing to the new event. Use the “on account” to create a money trail that will show that the registrant paid originally for the refunded event, and now the money is being used to pay for the new event. The registrant will be removed from the refunded event and enrolled in the new event.
    2. If the refunded event is more than the new event, refund the difference and change the payment tender type for the new event to “on account”. The registrant will be removed from the refunded event, refunded the amount listed and enrolled in the new event. This will all be reflected in the financial and registrant enrollment reports.
    3. If the refunded event is less than the new event. You will need to somehow charge the registrant the difference. You can call the client and get their CC info to process the difference. It is easier to have the client sign up through the registration process for the event they want themselves and than you can refund the cancelled event once the payment has been confirmed.
  8. Click on “review” when finished. If you do not see “on account” as a payment option, please contact the e-RegisterNow staff to enable it for you.edit_registrations
  9. This page will allow you to review all your changes to ensure the correct events and amounts of money are being exchanged. Click “Process” to confirm these changes. review_registrations
  10. Once the transaction has been processed, the confirmation page will load showing the breakdown. It is recommended that you send the client an updated receipt with the new changes. This can be done by clicking the blue reference number link that opens a new window of the receipt. Click on the third “here” near the top to email the official receipt. The email field is pre-populated with the clients email, and a custom message can be created for the email. Send the email to send the updated, official receipt.

Import Registrants

Procedure:

Import Registrants allows the client to upload any number of relevant data into the e-RegisterNow database. An event and a registration form will have to be set up for the import to be used correctly. Use the procedure outlined below. Click here for additional screenshots.
Procedure:

  1. Create an Excel spreadsheet containing the new database entries. Each column needs a unique heading – these will become fieldnames during the import. Use the standard fieldnames, listed at the end, when appropriate. Dates, telephone numbers, etc. need to be in the correct format; also shown below. Finally, save the spreadsheet in the Text (Tab Delimited) format.
  2. The spreadsheet headings need to be added to a registration form. The standard fieldnames must be selected on the form, the rest will be added as custom questions:
    a. Create a new registration form. For each standard fieldname, enable the corresponding standard question.Import Data
    b. Add a custom question for each non-standard fieldname, using an appropriate question type. For example here is a custom, “date added” field:
  3. Create an event using the registration form created above. Other event options don’t need to be changed. This allows the data to be imported as registrants.
  4. The M is now ready for the import. Use File Upload, to bring the text file spreadsheet into the M.  Next, select from the menu bar, Tools | Import | Import Registrants. Type the text file name into the textbox and make sure the event from part 3 is selected. Finally, click on Import Data

The data should now be imported as registrants. If there are any errors make sure the spreadsheet is properly setup and saved as a tab delimited text file. Listed below are the standard fieldnames and formats.

e-Ticket Resender

email_resenderThe email re-sender allows the client to set up an autonomous website that allows registrants to resend their e-tickets to themselves. This feature is useful when the registrant never got the original email or has lost/deleted the email with the e-tickets. The M number using this feature must process credit card payments and capture the postal/zip code of the registrant. To use this page, create a new template file (easier to just take the step 2 template file) and add the variable “%%E-RESEND_DEFAULT%%” to it, then upload the file and link it under preferences > template files > email re-sender. Then take the link below and replace xxxx with your M number, (for example 2088).

Ad Hoc Reports, found under Reports > Registrant Reports, allow a user to define a custom report. This is quick and easy way to create a report from all the data captured from the registrant that cannot be found under any of the predefined reports. Events, registrants, columns, data and display of the report can be edited to suit the users need and a downloadable tab-delimited .txt file is available for import in Microsoft Excel.

URL Resources

URL_Resources

URL Resources allow the user to link an outside URL that contains important information, downloadable resources such as PDF files or Excel Sheets, reward pages or online courses. These pages would only be available to the registrant after they have signed up for a specific event. The event can be free or charge money to ensure only registrants have access to the URL.

View Batch History

view_batch_historyThe View Batch History allows the user to see individual batches that have been processed. By clicking “Done” under Status, the user can see the individual transactions that occurred within the batch checking if each one was authorized. If the transaction failed, it will list an error with the reason why.

Manage Registrants

The Manage Registrants tab allows the user to search for all registrants that have signup for in this specific M number.  You can search by first name, last name, email or reference number.

The results box will narrow down search targets as you type. To see the more detailed result, click on the “Search” button after typing in a search string.

To filter by events, use the check box “Search in specific event(s)”.

Note

  1. Manage registrants is recommended for editing registrant information or cancelling existing enrolments.
  2. To change from one event to another, it is recommended to use this interface to cancel the leaving event, and then use Tasks; Cashier Entry to add the new enrolment. The reason for this, is to ensure a confirmation email is sent and all coupons are triggered that are associated with the new event.
  3. If you’re dealing with a simple, “out-of-one event” and into another event, go ahead and use this feature to accomplish this.
