Introduction
This blog is Part one of an overview of the reports available in e-RegisterNow. Please refer to the video on the page for a visual of the reports.
The main report headers include Financial Reports, Registrant Reports, eTicket Reports, Direct Feed Reports, Custom Reports, Canned Reports, and Public Reports. In this blog we will go over Financial Reports, Registrant Reports, and Canned Reports.
Financial Reports
Within the Financial Reports header there are Account Statement Report, Payment Summary Report, Payment Details Report, General Ledger Report, Payment Plan Report, and Refund Report.
The Account Statement Report is populated whenever a client is using the e-RegisterNow VISA/MC merchant account. The report shows funds collected each day minus fees. For clients using their own merchant account, this report will be empty.
The Payment Summary Report breaks down each day’s total transactions by payment type. The “Other” type includes everything that is not Visa, Master Card, or American Express.
The Payment Details Reports, by far the most popular report, shows details about every transaction in chronological order: the date, cardholder name, reference number, payment type, the amount, the currency type, the credit card’s authorization number, and the transaction ID if checked off on the payment details menu. The transaction ID is your acquirer’s unique identifier that you will reconcile with.
The General Ledger Report is a mini trial balance of just revenue accounts. Each event allows for the definition of a GL number. It is highly recommended to use the GL number from the main corporation’s General Ledger system assigned to this revenue stream. That is, we suggest that you use the corporation’s actual GL number when defining the GL number field within the event’s definition. At the end of a month or week, the e-registerNow’s GL report will show total dollar values that can be posted to the corporation’s main general ledger as one journal entry per GL number. Tax values are broken out separately. The details explaining each GL number’s dollar value can be left inside the e-RegisterNow system.
If transactions have already occurred before defining an event’s GL number, the GL number can still be added and the report will automatically update. GL numbers also appear as hyperlinks, which allow for drilling down on any value to see how it was arrived at.
Payment Plan Report: Within the virtual terminal, payment plans may be defined. This report summarizes the status of each payment plan that is in existence. See the video on Virtual Terminal for more information.
The Refund Report displays information just about refunds including the date, cardholder name, payment type, the amount, currency type, the name of the user that issued the refund, and the refund status.
Registrant Reports
Registrant Reports include Enrollment Reports, Attendance Sheet, Ad Hoc Reports, and Web Registrations.
The Enrollment Report shows you how many people are enrolled in each of your events and the type of unit whether a registration or ticket.
The Attendance Sheet report initially requires a default setup. The report allows up to 8 columns with a depth of 4 fields of data per column. Occasionally some events require their own custom attendance sheet. Custom attendance sheets can be defined as needed.
Ad Hoc Reports are column based reports and can be used as soon as they have been defined. To define an ad hoc report, choose a blank “Ad Hoc Report“ and click on “Edit Selected Report Settings”. Fill out fields to define the report. To view a report, select the report and press “Display Report”
Web Registrations is a static report, which over a specified date range, displays the name, ref number and event each web registrant has enrolled in.
Canned Reports are pre-formatted reports. Choose one or more Reports from the select box beside Event Name and select which type of predefined report you would like to see from the drop down menu beside reports. You can refine your search down further with date ranges, letter ranges, and whether the event is currently enabled or not. In this example I am using the Registrant and Event Report. It displays information about all of the registrants including name, email, amount paid, and the date and time of purchase.
